At Capture The Moment, 

We believe photography is more than creating beautiful images—it’s preserving the moments that become part of your family’s story. Long after the flowers have faded, the birthday candles have been blown out, and the children have grown, your photographs remain as a reminder of how those moments felt.

Policy

Capture The Moment Photography Policies

1. Booking Consultation

Optional planning consultation: $15. The fee is non-refundable but will be credited toward your booking if you schedule a session.

2. Retainer

A non-refundable retainer is required to secure your session.

Studio Sessions: Starting at $175

Location Sessions: Starting at $150

Retainers may increase based on package upgrades, custom sessions, or add-ons.

3. Arrival & Late Policy

Please arrive 10 minutes early. A $15 late fee per shooting participant applies. Late arrivals do not extend session time.

4. Editing Turnaround

Standard delivery: 7–14 business days.

3–5 Business Days: +$50

24–48 Hours: +$75

5. Rescheduling

One complimentary reschedule is allowed with 72+ hours’ notice.

Less than 72 hours: $35

Additional reschedules: $40 each

6. No Call / No Show

No call/no shows forfeit all payments and require a new retainer to book another session.

7. Photos During Sessions

Photography by others is not permitted during your session without approval. Behind-the-scenes videos are welcome.

8. Guest Policy

⚠️ THIS POLICY APPLIES TO ALL SESSIONS REGARDLESS OF LOCATION (STUDIO, OUTDOOR, AIRBNB, PARK, VENUE, HOME, ETC.). ALL POLICIES, INCLUDING THE NON-SHOOTING GUEST LIMIT, REMAIN IN EFFECT.

A maximum of 2 non-shooting guests is permitted. Additional guests require prior approval and may be subject to an additional fee. Excessive guests or distractions may result in additional fees, shortened session time, or cancellation.

9. Payment Methods

Please do not send payment until instructed. We accept Apple Pay, Cash App, Venmo, Zelle, PayPal, and cash.

10. Final Balance

Your remaining balance is due 2 weeks prior to your scheduled shoot date and will be listed on your invoice. Balances not paid within 24 hours of the due date may result in cancellation of your session.

11. Last-Minute Bookings

Booked within 2 weeks: +$50

Booked within 72 hours: +$75

12. Sessions Booked Within 2 Weeks

Sessions booked within 14 days require payment in full to reserve your date.

13. Additional Editing

Advanced edits, including background changes, object removal, recreations, and composites, are available for an additional fee.

14. Image Selection

Capture The Moment selects the best images for editing. Proof galleries are not provided.

15. RAW Images

RAW and unedited images are never released.

16. Social Media

Capture The Moment may share 2–3 images from your session for marketing unless a $20 Privacy Fee is added before your session.

17. Weather Policy

Outdoor sessions affected by unsafe weather will be rescheduled at no additional charge.

18. Emergencies

If an emergency or unforeseen circumstance prevents the session, we will work together to reschedule when possible.

19. Policy Violations

Failure to follow these policies may result in a $35 policy violation fee.

20. Appointment Confirmation

Sessions must be confirmed within 72 hours of your appointment or may be canceled.

21. Damage

Clients are responsible for any damage caused by themselves or their guests to equipment, props, furniture, or the session location.
